Terms of Service

These terms govern your use of Castellan Bot ("the Bot") and the services provided through rentember.com. The Bot is operated by thomasthegama ("I", "me"). By requesting and using a bot instance, you agree to these terms.

What the service is

I provide a hosted Discord bot for Conquerors Blade house management. Each house that signs up gets a dedicated bot instance with its own name, configuration, and database. I handle hosting, maintenance, updates, and backups. You interact with the bot through Discord slash commands in your own server.

Your responsibilities

• Discord's rules apply. Your use of the bot must comply with Discord's Terms of Service and Community Guidelines. The bot is a Discord application and runs within Discord's platform.
• Accurate info. When requesting a bot instance, provide accurate information (house name, Discord username). Don't impersonate another house or user.
• Appropriate use. The bot is designed for Conquerors Blade house management. Don't use it for harassment, spam, data scraping, or anything that violates Discord's policies or applicable laws.
• Access control. You're responsible for managing who has Admin/Officer permissions within your bot instance. I set up the initial access, but ongoing permission management is on you and your officers.
• Content you store. Officer notes, modmail transcripts, and other written content stored through the bot is your responsibility. Don't use the bot to store illegal content, personal information beyond what's needed for house management, or anything that would violate someone's privacy in a way they didn't consent to.
• Inform your members. By inviting the bot to your server, you agree to make your server members aware that the bot is active and collects data as described in the Privacy Policy. This includes voice channel attendance tracking during TW sessions and modmail transcript storage. If the bot operates in multiple servers (e.g., an alliance TW server), you are responsible for ensuring members in all of those servers are informed.

What I provide

• Hosting and uptime. I run the bot on my infrastructure and aim for 24/7 availability. Realistically, there will be occasional downtime for maintenance, updates, or issues. I don't guarantee 100% uptime, but I do my best and I'll communicate about planned downtime when possible.
• Backups. Databases are backed up automatically every 6 hours with a rotation of 20 backups. This protects against data loss but is not a guarantee that every byte of data can be recovered in every scenario.
• Updates. I push updates and bug fixes as I develop them. New features and improvements roll out to all instances. If an update changes how something works in a significant way, I'll give you a heads up.
• Support. If something's broken or you need help, message me on Discord. I'm one person, not a support team, so response times depend on my availability — but I do respond.

Data and privacy

See the Privacy Policy for full details on what data is collected, how it's stored, and how it's used. The short version: each house has its own isolated database, I don't sell or share your data, and you can request deletion at any time.

Pricing and payment

Pricing is confirmed directly before setup and depends on the bot instance, hosting needs, enabled modules, and support scope.

If pricing or scope changes later, I'll give active houses notice ahead of time. You'll have the option to continue under the updated terms or discontinue the service and request export/deletion of your data.

Intellectual property

The bot's source code, design, and features are my work. By using the service you get access to a hosted instance — you don't get ownership of the code, the right to redistribute it, or the right to reverse-engineer it.

Your data (member records, TW stats, notes, etc.) belongs to you. I'm just storing and processing it on your behalf. If you leave the service, you can request an export of your data before deletion.

Disclaimer

The bot is provided "as is." I built it to be reliable and useful, and I use it for my own house too, so I have a personal interest in it working well. That said:

• I don't guarantee the bot will run without errors or be available 100% of the time.
• I'm not responsible for decisions you make based on bot data (e.g., kicking a member over attendance stats).
• I'm not liable for any damages, data loss, or disruption beyond what's within my reasonable control.
• The bot is not affiliated with, endorsed by, or officially connected to Conquerors Blade, Booming Games, or My.Games.

Termination

You can stop using the bot at any time. Let me know and I'll shut down your instance and delete your data.

I reserve the right to terminate a bot instance if it's being used in a way that violates these terms, Discord's policies, or applicable law. I'll try to give you a heads up first unless the situation requires immediate action.

Changes to these terms

I may update these terms from time to time. If I make significant changes, I'll update the date at the top and try to notify active customers on Discord. Continued use of the bot after changes means you accept the updated terms.
